Contacts
Overview
Contacts is your directory of people you work with — crew members, freelancers, models, suppliers, and vendors. Unlike Clients (who hire you), Contacts are people you hire or collaborate with.
Categories
Each contact has a Category, set in the Company section of the form:
Catering, Equipment Rental, Florist, Hair & Makeup, Print Lab, Model, Second Shooter, Videographer, Venue and Other.
Booking a shoot for someone? Add them as a client instead.
Accessing Contacts
Business tab → Contacts
Contacts are grouped by the initial of their surname, with an alphabet index down the right edge of the list — tap a letter to jump to it. The search bar at the top filters by name, company, email or phone number.
Creating a Contact
- Tap +, or Business → New Contact (⌘D) on a Mac
- Enter their first and last name
- Then complete any of the optional fields
- Select their Category
- Add any profile notes
- Tap Save
Contact Detail Screen
- Header — Name, photo, category, and buttons to call, email or message them
- Last contact and next shoot — Under the buttons, the last thing logged with them and the next booking they’re on. See All opens the Timeline
- Profile — Company, role, rating, notes and contact details
- Timeline — Interaction log. Log Communication adds a call, email or meeting
- Bookings — Every booking they’ve been part of
The More menu (⋯) holds Edit Contact, Make Client and Delete Contact.
Making a Contact a Client
When someone you work with books you for a shoot of their own, choose Make Client from the contact’s More menu. Their name, email, phone, address and notes are copied into a new client, which opens. If a client with that email already exists, it opens that one instead.
Deleting a Contact
Swipe a contact in the list and tap Delete, or use Delete Contact in the More menu. Apex Lucis asks first and names the bookings that will stop listing them.
Sending Email or SMS
From any contact’s detail screen:
- Tap their email address to open a pre-addressed email in Mail
- Tap their phone number to open a pre-filled SMS in Messages
Email and SMS use Apple’s native apps. You cannot send messages from within Apex Lucis directly. Any communication sent this way will not be recorded in the timeline, as this data is not shared by the native applications.
