Equipment
Overview
Track all your photography equipment — what you own, its condition, when it was last serviced, and what insurance covers it. Group gear into kits for quick assignment to shoots.
Accessing Gear
Planning tab → Equipment
Equipment has four tabs:
Inventory Tab
A list of all your equipment, with Owned and On Hire counts at the top and category chips to narrow it. Each item shows:
- Name and model
- Category (Camera Body, Lens, Filter, Tripod & Support, Lighting and the rest)
- Condition (Mint / Excellent / Good / Fair / Needs Service / Retired)
- Hired for hired gear, and a worded warning when something needs doing: Return overdue for hired gear past its return date, Service due for gear due a service
Tap any item to open its detail screen with full specifications, purchase details, and service history. The Return Date and Service Due say when they’re due or overdue in words — “3 Nov 2026 · Due soon”. Edit Item is in the toolbar.
To add gear:
- Tap +, or Planning → New Gear Item (⌃G) on a Mac
- Enter name (required), and category, manufacturer, model, serial number
- Set the purchase price, and insured value to track insurance
- Set current condition
- Tap Save
Swipe an item and tap Delete to remove it. Apex Lucis asks first, says which kits it is in, and that its service history goes with it.
Cameras and Lenses
A camera body and a lens each get a section of their own in the add and edit sheets, holding the figures the Toolkit calculators work from. None of it is required — the calculators fall back to standard values for the format — but a body you have described answers for the camera in your bag rather than a generic one.
Sensor (camera bodies)

Resolution is the one worth filling in. There is no standard figure for a format, so Spot Stars and Star Trails stay unavailable until you enter it.
Lens Specs (lenses)
Focal length range, the widest aperture at each end of the zoom, and the narrowest. A prime takes the same figure at both ends of the focal range.
Fill these in once for the two or three bodies and lenses you actually shoot with. Everything in the Toolkit, and the sharpness check on Moon Alignment, reads them from here.
Kits Tab
Kits are named groups of equipment you commonly use together — for example, a “Landscape Kit” containing your wide-angle lens, tripod, and filters.
To create a kit:
- Tap +
- Name the kit
- Choose Items from your Inventory
- Tap Save
Kits can then be assigned to specific call sheet slots so your team knows exactly what to bring.
Packing a kit
Open a kit and tap Pack (on a Mac, Planning → Pack Kit). Each item gets a tick box; tap it as it goes in the bag. Ready to go! shows once everything is packed. Done Packing leaves packing, and Reset Packing List clears the ticks for next time.
Packing for a booking
On an upcoming booking, the Packing card offers Choose a Kit. The booking gets its own packing list — a copy of the kit — so packing for Saturday never ticks the kit for every other shoot, and an extra item added for one job stays with that job. See Bookings → Packing.
The day before the shoot, the Dashboard’s Needs Attention shows “Pack Landscape Kit” until it’s packed.
Service Tab
Needs Attention lists gear due a service — “Due 3 Oct”, or “Overdue since 3 Oct” once the date has passed. Below it, every service you’ve logged.
To log a service:
- Open an item and tap Log Service (on a Mac, Planning → Log Service…)
- Choose the service type
- Enter the date, the provider, the cost and a description
- Switch on Set next service reminder if you want one
- Tap Save
An item’s Service History lists its records, newest first. Tap one to correct it, or swipe it to delete it. The item’s last service date follows the newest record.
Insurance Tab
Your gear’s insured value, totalled and broken down by category. Enter an Insured Value and a Policy Reference on each item to fill it in.
Add a service reminder before your insurance renewal date so you can check your equipment’s value is still correctly insured.
